What is Access Control and How Does it Work?

An access control system basically replaces the need for traditional keys with something called “credentials”. These can be fobs, cards, PIN codes or even a mobile phone. Instead of a key, employees or contractors use a digital, encrypted credential that’s programmed into the system.

An access control system is made up of four basic components:

  • The credential: This might be a fob, card, PIN or mobile app.
  • The reader: Installed at each entry point, it “reads” the credential and sends the information to the controller.
  • The lock: an electric strike (or something else like an electromagnetic lock) that releases the door when access is granted.
  • The controller: The brain of the system, decrypting credentials and deciding who is allowed where and when they’re allowed in.

So what are the benefits of installing an access control system?

1. Convenience: No more lost keys or rekeying

With a traditional lock and key setup, a single lost key can mean expensive locksmith callouts and reissuing keys to staff. With access control, you simply delete the lost credential from the system and issue a new one.

Staff can also use the same credential across multiple sites – no need for keeping track of multiple keys or credentials.

If you need to restrict or expand access to someone, you can do it instantly from the system rather than tracking them down for a meetup and key handover.

You can even issue temporary credentials to contractors or visitors, and revoke the credential once the job is complete.

2. Security: Harder to copy, easier to manage

Physical keys can often be copied in minutes at a local hardware store (unless you’ve got a restricted key system which then comes with its own issues). Encrypted credentials are far more secure, making it harder for unauthorised copies to be made.

You can also set specific access levels for the areas of your business. For example, we can design your system so that warehouse staff cannot enter office areas and vice versa. And you can limit access by time so that staff can’t enter outside of work hours unless approved.

3. Audit Trail: Know who came and went

An access control system keeps a digital record of every entry. This gives you:

  • A clear picture of who was onsite and when.
  • Evidence in case of an incident.
  • The ability to easily match records with CCTV footage.

Some systems even allow us to integrate facial recognition so that the person on camera is confirmed to be the same as the credential-holder. This is very useful for areas of maximum security and just isn’t possible with traditional keys.

4. Area Tracking: Emergency preparedness

For larger sites with lots of staff, access control can also help you in the event of an emergency. In an emergency evacuation, your access control system can see exactly which staff or contractors were in specific areas so that you can structure your evacuation effectively, and live muster reporting can help you ensure everyone is accounted for.

5. Integration with Alarms

We’ll often pair an access control system with an alarm system (often they’re one and the same) adding even more convenience. For example, the first person in for the day swipes in, automatically disarming the alarm. Then the last person out does a double or triple swipe, automatically arming the system. This eliminates the need for PIN codes and makes it easier to remember to arm the alarm. But remember, the most effective way to ensure your alarm is armed is by having us monitor your alarm 24/7 with a scheduled “late-to-close” check.
